1. Introduction
This Cookie Policy explains how Earhart Group Ltd, trading as My-QS, uses cookies and similar technologies on the Website, within the web applications for each My-QS Platform, and within our Apps. It should be read together with our Privacy Policy.
We comply with the Privacy and Electronic Communications Regulations 2003 ("PECR"), as amended by the Data (Use and Access) Act 2025, and with the UK GDPR where cookies involve personal data.
2. Who We Are
My-QS is a trading name of Earhart Group Ltd, ("Earhart Group", "My-QS", "we", "us" or "our").
Earhart Group Ltd trades as My-QS in respect of all of the following platforms, each of which forms part of the My-QS Suite (together, the "Platforms"):
My-QS Survey Suite. Vendor and subcontract account management: valuations, payment and pay less notices, change orders, back charges, notices and compensation events, cost to complete, final accounts and letter registers.
My-QS Snag Pro. Snagging, defect management, inspection and close-out, including QR-coded locations, photographs with mark-up and a full audit trail.
My-QS Tender Scope. Tendering and procurement: a searchable vendor and supplier directory, vendor advertising, project folders, RFQs and the optional AI Supplier Finder.
My-QS Quantum Track. Real-time site variation tracking: QR clock-in and clock-out against variations, daily work records, resource and cost build-up and client submission packs.
My-QS AI. AI-enabled tools comprising (a) access to Docu-Genie, a document upload and AI query platform, and (b) the My-QS AI Meeting Transcriber, which records, transcribes and summarises meetings.
References to the "Website" mean [www.my-qs.com & www.my-qs.co.uk] and any associated My-QS landing pages, sub-domains and web applications, and references to the "Apps" mean any My-QS or Docu-Genie mobile applications made available through the Apple App Store or Google Play.
3. What Are Cookies and Similar Technologies?
Cookies are small text files placed on your device when you visit a website. They allow the site to recognise your device and remember information about your visit. We also use similar technologies, which this Policy refers to collectively as "cookies":
(a) Local storage and session storage: browser storage used to keep you signed in, remember preferences and enable offline working (for example, in Snag Pro and Quantum Track where offline capture is supported).
(b) Pixels and tags: small pieces of code that tell us whether an email was opened or an advert was effective.
(c) Software development kits (SDKs): code within our Apps that provides functions such as crash reporting, push notifications and analytics.
(d) Device identifiers: identifiers used by mobile operating systems for app functionality and, with permission, analytics.
Cookies may be "first-party" (set by us) or "third-party" (set by another provider, such as our payment processor). They may be "session" cookies, which are deleted when you close your browser, or "persistent" cookies, which remain until they expire or you delete them.
4. Categories of Cookies We Use
| Category | What they do | Consent required |
|---|---|---|
| Strictly necessary | Essential to provide the Website and Platforms you request: signing in, single sign-on across the My-QS Suite, maintaining your session, security and fraud prevention, load balancing, remembering your cookie choices and processing payments. | No. These cannot be switched off as the service would not work without them. |
| Functional | Remember your choices to improve your experience, such as language, currency and date formats, dashboard layout, last-opened project, and offline data caching. | Yes, unless strictly necessary to provide a feature you have requested. |
| Analytics and performance | Help us understand how the Website and Platforms are used, measure performance, detect errors and improve features. Data is aggregated where possible. | Yes, unless a statutory exemption applies. Where we rely on an exemption for limited statistical analytics, we will tell you and offer a simple way to object. |
| Marketing and advertising | Measure the effectiveness of our marketing campaigns and, where you agree, show you relevant My-QS adverts on other sites. | Yes. Always opt-in. |
* Tender Scope vendor advertising is displayed within the Tender Scope directory itself and does not rely on third-party advertising cookies to target you.
5. Cookies in Use
Third-party cookie names and durations may change at the provider's discretion.
6. Cookies Across Individual Platforms and the My-QS Suite
The same cookie categories apply whether you use a single Platform or subscribe to the My-QS Suite. In addition:
(a) Single sign-on: when you sign in to one Platform, a strictly necessary authentication cookie allows you to move between the other Platforms you are subscribed to without signing in again.
(b) Your consent choices apply suite-wide: preferences set on the Website or in any Platform are applied across all My-QS Platforms on the same browser, and you can change them at any time.
(c) My-QS Snag Pro and My-QS Quantum Track use local storage to support QR-code scanning and offline capture. This is necessary for those features to work.
(d) My-QS AI (Docu-Genie and the Meeting Transcriber) may use storage to keep upload progress and transcripts in progress. Microphone access for voice queries or recording is requested through your browser or device permission prompt and is never enabled without it.
(e) Docu-Genie direct users: where you use Docu-Genie directly at docu-genie.com, its own cookie notice also applies.
7. Mobile Apps
Our Apps do not use browser cookies but may use SDKs and device storage for the purposes described above. Where an SDK is not strictly necessary, we will ask for your permission in-App, and you can manage permissions (such as camera, microphone, location and notifications) through your device settings. On iOS, we will request permission through Apple's App Tracking Transparency prompt before any tracking across other companies' apps and websites.
8. Managing Your Preferences
(a) Cookie banner and settings: when you first visit, you can accept all, reject all non-essential, or choose by category. "Reject" is as easy to select as "Accept". You can reopen your settings at any time using the "Cookie Settings" link in the Website footer and in each Platform's account menu.
(b) Browser settings: most browsers let you block or delete cookies. Blocking strictly necessary cookies will prevent you from signing in to the Platforms.
(c) Google Analytics opt-out: you can install the Google Analytics opt-out browser add-on.
(d) Marketing emails: you can disable email tracking pixels in most email clients and unsubscribe at any time.
Withdrawing consent does not affect the lawfulness of processing before withdrawal.
9. Changes to This Policy
We will update this Cookie Policy when we change the cookies we use, including when new Platforms or features are launched. Where changes require fresh consent, we will ask for it through the cookie banner.
